August Status Report
Advisory Committee, Research Deans, and early users and testers of Expense Review,
Expense Review is on track to deliver core functionality on our target go-live date of October 7th. We will add additional features through at least the end of the calendar year. Details are below:
- July: Released to external testers and advisory committee.
- August: Launch pilot and comence formal user testing.
- September: Soft launch of Expense Review.
- September 15: Advisory Committee meeting to review readiness and roll out plan.
- October 7: Email notifies Research Administrators they can review July, August, and September reports.
- October 15: Email notifies PIs and Account Managers they can review their July, August, and September sponsored expense reports.
- October-December: Continue developing additional functionality.
Pilot
- Available Now, you can preview your reports and details panels in the pilot from 7AM – 7PM at: pidashboard-pilot.rais.
cucloud.net/expense-review. - An updated version will be released shortly and we will invite our ~50 volunteers to join the pilot.
- We’ve also scheduled formal user testing to ensure faculty and research administrators can easily understand and use the reports.
Before Go-live
Before the October 7 go-live date, we will add the following features:
- Research administrators can leave notes on transactions and overall notes on a report.
- A home page for research administrators to see which faculty have completed their reports.
- Historic reports going back to the beginning of the prior fiscal year.
- If possible, Faculty can ask questions or request corrections on a transaction.
Communication rollouts are ongoing and will include emails, an updated Expense Review website, first run pop-up notifications, and (probably) a first run video. Our goal is for faculty to be able to complete their reviews without direct support.
- August: A follow-up to the salary certification announcement will include a message about the Expense Review with a link to the project website.
- August: Invite volunteers to the pilot.
- Mid Sept: Email all future users of Expense Review about the project. This will go out after Salary certification is complete to avoid confusion. By this point, we will have “soft launched” Expense Review and users will be able to log in to see their reports.
- October: More outreach, including regular monthly emails inviting people to complete their reports.
- Monthly status emails to RAs and faculty.
- A homepage for the SFS central administrators.
- Additional transaction details in the report.
- A data feed of review status for the KFS datamart.
- We also want to address suggestions from our early users.
